What does a Client Service Associate do at companies like ABERDEEN STANDARD INVESTMENTS?

I.  PURPOSE OF THE POSITION:

The ‘ICS US’ team will be responsible for client service for clients domiciled in the US, Canada and the Caribbean, covering all client types, all mandate types, and all current and future investment asset classes; examples include Equity, Fixed Income, Private Equity, Hedge Funds, Global Absolute Return and Property.

The Client Service Associate reports to the Head of Institutional Client Service, US.  The Client Service Associate will manage designated clients’ accounts as well as be the office-based back up for the Relationship Management team on all client service related activities.

II. JOB DUTIES:

Client Specific Functions/Responsibilities

  • Manage all aspects of onboarding process of all new clients ensuring legal paper work, CDD documents and anti-money laundering paperwork are all received and complete before funding.
  • Liaise with the client/their custodian/internal departments to ensure take-on is smooth and without issues.
  • Manage client events such as guideline, fee or strategy changes, as well as cash flows and terminations; partner with client and internal teams to facilitate and communicate client details as needed.
  • Proactively develop client relationships to better understand clients’ needs.
  • Act as the client champion within AAM ensuring that client needs are considered whilst managing operational efficiency.
  • Provide information and guidance to customers about AAM financial products upon request; communicate new investment opportunities from clients to the sales and relationship management teams, provide guidance and information regarding client investment timelines, and ad hoc wants and needs to Portfolio Managers.
  • Participate in client conference calls with the Portfolio Managers and off site client meetings when required.
  • Research and resolve all client queries and requests in a timely manner.
  • Conduct ad hoc analysis relating to the assigned clients list as required.

Operational Responsibilities

  • Research and resolve any operational issues for the assigned client list, be they reporting issues, custodian issues, requests for data or any other traditional client service related issue.

Reporting Responsibilities

  • Working closely with colleagues in Operations, review monthly and quarterly reports in a timely manner for accuracy.
  • Work with the client reporting teams to ensure all client reports are sent out by the required deadlines on a monthly and quarterly basis.

Data Responsibilities

  • Responsible for providing DATA team and Group Info with all client AUM data and funded/unfunded client data. 
  • Assist with the specification of any bespoke client reporting deliverables working with the appropriate operations/client reporting team(s).

Back up responsibilities

  • Be the office-based back up for the Relationship Manager dealing with client queries/issues.
  • Provide cover for other ICS US team members as required based on client allocations.

Training responsibilities

  • Assist in training new colleagues joining the ICS US team.
  • Participate in cross training activities required to share knowledge and experience amongst the wider team.

        

III. QUALIFICATIONS and EXPERIENCE REQUIRED:

  • Four year undergraduate degree, preferably in a business related field.
  • 3 to 4 years experience within the asset management industry preferably in a client service role
  • Series 7 & 63 licenses required within 6 months of hire
  • Experience in servicing institutional investment management clients is preferred
  • Attention to detail is the number one competency required for this role
  • Ability to work under pressure and within tight deadlines especially at month and quarter end

IV. CONDITIONS OF WORK: 

  • Due to tight deadlines, especially at month and quarter end, there will be times where long hours are expected. Minimum 8:30 till 5.30; sometimes working later. 5-10 hours overtime expected
  • Limited travel will be required. This may include visits to other AAM locations and travel required to meet clients when appropriate.
